A flower wall that's packed carelessly looks tired after a dozen events. One that's handled properly still looks new after hundreds. For a hire business, how you transport and store your walls directly affects how long they keep earning - and how professional you look when you arrive at a venue.

Packing panels properly

  • Keep the original boxes. They're the right size for the panels and stack well in a van.
  • Pack flowers facing flowers. Place panels face-to-face in pairs, so the backing grids protect the blooms.
  • Don't over-fill. Squashing extra panels into a box flattens flowers. It's cheaper to buy another box than to replace panels.
  • Label everything. Mark each box with the wall name and panel count, so you never arrive one panel short.
  • Bag the hardware. Keep clips, cable ties and stand fixings in a labelled bag inside the stand case.

Loading the van

  • Load panel boxes upright or flat, but never under heavy items like stand bases, sandbags or soft play.
  • Strap boxes so they can't slide during braking.
  • Load in reverse order of setup: the stand comes out first, then the panels, then the add-ons.
  • Keep a set of spare panels in the van for emergencies.

A fast, repeatable setup routine

The quicker and tidier your setup, the more events you can do in a day and the better venues think of you.

  1. Check the space, the floor, and the route to and from your van.
  2. Lay a dust sheet down to protect the venue floor and keep panels clean.
  3. Build and level the stand, and weight the base if needed.
  4. Clip panels on row by row from the bottom up, checking alignment as you go.
  5. Fluff and position the flowers to hide the joins between panels.
  6. Add neon, props and add-ons, then photograph the finished setup for your portfolio.

After every event

  • Inspect each panel for loose or damaged flowers.

  • Dry before storing. If a wall has been in a damp marquee or outside, let it dry fully before boxing it to prevent mould.
  • Repair or replace damaged panels before the next booking, not on the morning of it.

  • Store boxes somewhere dry, cool and out of direct sunlight - a garage that gets damp is a risk.
  • Raise boxes off concrete floors on shelving or pallets.
  • Don't stack heavy items on top of panel boxes.
  • Keep a simple stock list so you know exactly what's available for each date.
